Destin Rental Policies
Reservations. Advance reservations for all of our South Walton rentals and Destin accommodations are encouraged and can be made up to one year in advance. Reservations can be made online or by calling 1-888-650-2753. You will need to have a credit card to make a reservation (credit card is used for verification purposes).
Property Assignments. Upon making a reservation, you will be given a specific property code; however, Sandcastle Escapes reserves the right to switch your property at any time due to unforeseen circumstances that may arise.
Rates. All published Destin rental rates are based on specific property location, size, and amenities. Rates are subject to change without notice. We reserve the right to correct rates that may have been misquoted during a telephone conversation while booking or due to computer error.
Additional Fees. A non-refundable damage waiver fee will be charged to all reservations. A housekeeping fee will be applied to all reservations, with the amount depending on the size of the property.
Taxes. A total of 11% tax will be collected on all rentals located in Okaloosa County. A total of 12% tax will be collected on all rentals located in Walton County. A total of 12% tax will be collected on all rentals located in Bay County.
Advance Deposit. A minimum deposit of 50% of the total rental is required at the time of booking. Any remaining balance is due 30 days prior to arrival. For reservations made 30 days or less from the date of arrival, total balance is due at time of booking by credit card. Deposits will be processed 7 days after reservation is made by credit card.
Security Deposit Insurance. A non refundable security deposit insurance will be applied to your stay In lieu of a security deposit, each tenant will be required to purchase the security deposit insurance at said price included and broken out on your deposit request/rental agreement form. This insurance fee will cover any unintentional damage up to $1500.
Payment. We gladly accept money order, or credit card (Mastercard, Visa) for payment of rents.
Cancellation. It is strongly encouraged to purchase CSA Travel Protection Insurance. If you choose not to purchase CSA Travel Protection Insurance, you may only cancel 90 days prior to scheduled check-in date and receive a refund of the advance deposit minus a $75 cancellation fee. Sandcastle Escapes will not give refunds due to Technological and/or Man-Made disasters.
CSA Travel Protection Insurance. Travel Insurance is available through CSA. A fee of 6.5% has been automatically added to every booking unless notified in writing that you elect not to participate. CSA Travel Insurance Policy
Hurricane Policy. No refunds will be made due to Tropical Storms or Hurricanes even in the event of mandatory evacuations. Refunds for Hurricane evacuations are only given via CSA Travel Protection Insurance.
Refunds. No refunds will be given for late arrivals or early departures. Sandcastle Escapes does not refund for maintenance issues, problems with appliances and temporary loss of air-conditioning in units.
Check-In. Guests will be allowed to enter a specific property only after it has been fully cleaned to Sandcastle Escapes satisfaction. Normal check-in is 4pm. In some cases, you may be asked to wait until the rental unit has been cleaned and not be able to check-in until after 5 p.m. If you will be arriving after normal business hours, please call ahead of time to arrange for a late arrival. In some instances, early check-in may be available for a nominal fee.
Check-Out. Guests are asked to vacate all rental units no later than 10:00 a.m. on scheduled departure date. Please leave the property in neat condition, take out all trash, and clean all dishes. If property is left excessively dirty, guest will incur additional cleaning charges. All properties are expected to be left clean by departing guests.
Family Rentals Only. All rental units must be occupied by an adult, over the age of 25. We do not rent to vacationing singles or students that plan to be unsupervised by a PARENT! Reservations made under false pretense will result in immediate cancellation and/or eviction with NO refund. Parents are not allowed to check-in and leave, they must stay at the property throughout the duration of the scheduled stay.
Minimum Stay. One-week minimums do apply for most properties during peak season. All properties require at least three nights minimum stay. Weekly rentals will be scheduled for Saturday or Sunday arrival, depending on the property.
Housekeeping. All linens and towels are provided for each rental unit. Linens and towels are not to be taken from unit to be used on the beach. A starter supply of bath tissue, paper towels, and garbage bags are also included. Guests are responsible for their own paper goods after initial supply is depleted.
Maintenance. In order to receive the best possible service, please report all maintenance issues immediately during normal business hours. Maintenance issues are handled in the order that they are received.
Pools. Certain pools can be heated seasonally for an extra daily fee. Please inquire as to which properties are available and at what cost. Renters accept all risks associated with pool use.
Pets. Pets are not allowed in most rental units. If you plan on traveling with your pet, contact Sandcastle Escapes to find out which properties will allow them and what type of pets are acceptable (small dogs, 25 lbs. or less). Properties that allow pets require a non-refundable deposit per pet for additional cleaning.
Smoking. Smoking is not allowed in ANY property represented by Sandcastle Escapes!
Keys. Upon check-in, you will receive keys and any other required passes, arm bands, etc.The exact number of keys must be returned at check-out. If all keys are not returned you will be charged $15.00 for every key that is missing. In the event you are locked out after normal business hours, you will incur a fee of $50.00 and a Sandcastle Escapes representative will assist you.
Beach Access. Sandcastle Escapes does not maintain nor upkeep dune walkovers, paths, or beach accesses. Please inquire if you have concerns about beach access. Sandcastle Escapes does not offer refunds for beach closures.
Parking. Most properties restrict parking for RV's, boats, and motorcycles. Please inquire to find out which properties will allow parking for these types of vehicles.
Personal Property. Sandcastle Escapes will not be held responsible for any personal property left in rental unit.
Property Damage. In order to provide guests with the best experience possible, we ask that all damages to the property upon arrival are reported to our office. An active credit card is required to maintain the reservation and the integrity of the property. By signing the rental agreement you waive your right to dispute any charges that are made to your credit card regarding this policy. Non-billing stipulations include:
- No damage to the property or theft.
- No violations of rental or association policies.
- Rental is left in a neat and orderly condition.
- All garbage is removed from the house and pool areas.
Sandcastle Escapes will try to notify you of any impending charges; however, Sandcastle Escapes reserves the right to bill the credit card for violations to the policy. See also, Damage Waiver Policy
Rental Agreements. At the time of reservation, a confirmation/rental agreement will be sent via email. On the rental agreement is a signature line, please sign and return within 7 days of the booking date. In the event the agreement is not received back, your reservation may be subject to cancellation and you may incur a processing fee.
Subletting. Reservations are not transferable.
Long-Term Monthly Renters/Mailboxes. Sandcastle Escapes does not guarantee use of a mailbox with every rental. If you are a long-term guest please check with a Sandcastle Escapes representative before having mail forwarded to your designated property address.
General Information. Be a good neighbor, remember that each Destin rental property is owned by an individual and should be treated with the same respect as your home. Please abide by all noise ordinances, parking instructions, and all local homeowner's association requests (all homeowner's association rules and bylaws supersede that of Sandcastle Escapes).

We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email or other direct contact from you. We will not sell or rent this information to anyone.
We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, e.g. to ship an order.

We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline.
Wherever we collect sensitive information (such as credit card data), that information is encrypted and transmitted to us in a secure way. You can verify this by looking for a closed lock icon at the bottom of your web browser, or looking for "https" at the beginning of the address of the web page.
While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment.
DAMAGE WAIVER FEE: NON INSURED PRODUCT A nonrefundable Damage Waiver Fee is required for all reservations. Lessor requires a valid Visa, Master Card or Discover Card number on file in addition to the Damage Waiver Fee. The Damage Waiver Fee is a nonrefundable Fee that relieves Lessee of the cost for unintentional and incidental damage to the Rental Property and its contents, not to exceed the amount of coverage listed in your Rental Agreement. The Damage Waiver Fee does not cover intentional damage, theft, unauthorized entry into the owner's supply closet, unauthorized pets, extensive cleaning required at check-out, smoking, exceeding occupancy limits or parking limits, and any other charges/polices in Lessor's Rental Policies and Rental Agreement including any fines imposed on Manager by the City, County, State or Home Owner Association as the result of violation of any law, ordinance, rule or regulation or any fines or costs levied against Lessee or visitors of Lessee (Excess Damage Costs). Lessee will be notified of any Excess Damage Costs in writing. Any Excess Damage Costs will also be charged immediately to Lessee's credit card. Lessee, by signing below, assumes full responsibility for any items found to be missing and any damage due to misuse, negligence or action on Lessee's or Lessee's visitor’s part, except in the case of normal wear-and-tear reported to Lessor within 48 hours of Check-in.
The Damage Waiver Fee does not substitute for Lessee’s responsibility to leave The Property in appropriate condition. The Damage Waiver Fee does not negate Lessee’s responsibilities as a responsible renter, nor does it relieve Lessee from responsibility for intentionally destructive acts of Lessee or other members of Lessee’s party while in occupancy. Lessee must notify Lessor of any damage or theft to the unit during Lessee’s occupancy or upon vacating. The Property will be carefully inspected after Lessee’s departure and any damage, theft or other incidents which occur during Lessee’s occupancy and which have not been disclosed to Lessor prior to Lessee’s leaving will remain Lessee’s obligation.
The maximum aggregate amount of accidental damage that is covered by the Damage Waiver Fee is listed in your Rental Agreement. Any damage in excess of this amount remains the responsibility of Lessee. All waivers of theft or damage will be administered by Lessor at The Property. Lessor will have the sole authority to determine the nature and extent of damages, necessary repairs and eligibility for the waiver of liability described herein. The Covered Lessee must report any theft or damage to The Property or its contents prior to checkout or any otherwise applicable damage waiver will be void.
TERM OF COVERAGE: The waiver takes effect upon check-in on the booked arrival date to The Property, together with receipt of payment of the waiver fee, at or before check-in. All coverage shall terminate upon normal check-out time of The Property or the departure of the Covered Lessee, whichever occurs first.
DAMAGE WAIVER FEE CONDITIONS: The plan will not include liability for damage or theft resulting from:
- Intentional acts of a Covered Lessee.
- Gross negligence or willful and wanton conduct.
- Theft of or damage to any personal property owned by, or brought onto the premises by Lessee or Lessee’s guest(s).
- Theft without a valid police report.
- Damage caused by any pet brought onto The Property by Lessee or Lessee’s guest(s).
- Property damage resulting from motorized vehicles or watercraft operated by Lessee or Lessee’s guest(s).
- Loss of use of The Property for any reason.Acts of God.Normal wear and tear.
- Any cause, if the Covered Lessee does not report the damage to Lessor prior to check out.
